The word spoof means falsify. A spoofed email is one in which the sender changes parts of an email to look as though it were written by someone else. Typically, the sender's name or email address and the body of the message are changed to appear as though they're from a legitimate source such as a bank, newspaper, or company the recipient does business with.

The reason scammers change email information is to get people to trust them. They hope recipients of the message will take additional steps, such as following a link to a fake website intended to collect personal information (a process known as phishing); or open, read, and respond to emails about products or services they want people to buy.

Scammers/spoofers change different aspects of an email to disguise the true sender, including the following properties:

FROM: Name and email address
REPLY-TO: Name and email address
RETURN-PATH: Email address
SOURCE IP: IP address

The first three properties can be easily altered by using settings in Microsoft Outlook, Gmail, Hotmail, or other email software. The fourth, the IP address, can also be altered but doing so requires sophisticated knowledge.

Why Scammers Spoof

In the case of phishing, the scammer sends a spoofed email message, which has a link to a website. The message may look legitimate, and even have the logo of a company the recipient does business with, such as a bank, so the recipient may not think twice about clicking. However, if the link is clicked, it goes to the scammer's website, which is fake and has been set up to collect personal data.

The recipient may be asked to enter a username and password, and then given a message that the website is down. Meanwhile, the scammer has collected the recipient's login information for the actual site and is busy taking money out of their bank account before they realize what's happening.

Another scenario involves scammers who run illegitimate businesses. Their email messages get flagged as spam before anyone can read them, so they spoof them to make it look like the messages are from a legitimate entity. The emails may appear to be from an ordinary person, a real company, or a government agency. The purpose of this scam is to get recipients to open the messages and read the spam advertising inside.

Types of Spoofing Software

While some spoofed emails are changed by hand, the majority are created by custom software. For example, the use of mass-mailing ratware programs is widespread among spammers. These programs run built-in word lists to create thousands of target email addresses, spoof the source email, then blast the email to those targets. Or, the ratware takes illegally acquired lists of email addresses and sends spam to them.

Mass-mailing worms are also common. Worms are self-replicating programs that act as a type of virus. Once on a computer, a mass-mailing worm reads the email address book of the recipient, then falsifies an outbound message to appear as though it's from a contact in the recipient's address book, and sends it to the entire contact list. This process may offend recipients, and tarnish the reputation of the innocent sender.

How to Recognize and Defend Against Spoof Emails
As with any con game, your best defense is skepticism. If you don't believe an email is truthful or that the sender is legitimate, don't click the link or enter your login information. If there's a file attachment, don't open it. If an offer in an email seems too good to be true, it probably is, and your skepticism will save you from giving out your personal information. Finally, study examples of phishing and spoof email scams to train your eye to distrust these messages.

What to do if you Find You've Been Spoofed

Many times you won't even know your email has been spoofed until you've received a bounce back from an invalid recipient. This means that someone pretended to be you (using your email address) and sent an email to an email address that doesn't exist. And the server bounced that message back to you. What do you do if you get one of these bounced back messages? A spoofed email does not mean that your email account was hacked or hijacked. It simply means that someone pretended to be you. And anyone can do this.

First, there is currently no way to stop spoofing, especially if they masked their IP address. Email wasn't built to make sure the person sending the message is who they say they are. And that's created a headache for billions of innocent email users out there.

My additional advice is to also report it to your Internet Service Provider. They have more time and tools to do more research and may be able to block messages from the IP address. Of course, the IP address can be spoofed. But ISPs are constantly fighting this too. If you have phishing, spoofing or malware issues, contact your ISP:

Have you recently started sending out blogs or newsletters and wondered "What can I do better"? Or "how can I improve my Click Through Rate"?

To find out, we gathered feedback from many different entrepreneurs online on how they use their strategies for improving email newsletter click-through rates. While all of these suggestions may not be for you, hopefully you will be able to get some great ideas for future mailings or blogs to increase the Click Through Rates (CTR) on your website!

They share their tips below:

We managed to drastically increase the click-through rates of some of our key emails and newsletter links simply by transforming links embedded in text into big green buttons. Users are instantly aware of where we want them to click, and the impact is even more noticeable on mobile devices. It's far easier to click on a large button in an email on your phone than it is to click on a link.

When you've sent out a survey, created a new product or built something new for your audience, leave a little suspense in the newsletter. Give some background on why the reader should care and tease them with the answer, which is something they must click to see. If done with the right tone and content, you'll see an increase in engagement. But use this strategy sparingly lest your newsletter feel like click-bait!

We all know an enticing headline increases open rates, but we don't all treat our call-to-action the same way. With a CTA, you get the benefit of the buildup before enticing readers to click. For example: “I've just told you that X company is hiring like crazy. See all 52 jobs here.” It works.

We run a popular daily email on innovation called Wakefield, so we've done quite a bit of testing over the years. We all know an enticing headline increases open rates, but we don't all treat our call-to-action the same way. With a CTA, you get the benefit of the buildup before enticing readers to click. For example: “I've just told you that X company is hiring like crazy. See all 52 jobs here.” It works.

I have a real short blog post today. Enjoy!

Are you a "skimmer"?

I wrote this on my iPad..

What do successful people have in common?

FREE unlimited Website Forge training classes

Are you a "skimmer"?

My wife says I am. Though I try not to admit it... I do catch myself reading an entire email in one glance. That certainly leaves plenty opportunity for me to miss important information.

It's definitely embarrassing when reply to a customer and theyhave to email me a second time saying "thanks for your fast reply but you didn't address my other two questions..."

I think my best suggestion is to wait until you have a full minute to give a proper reply. In our world of iPhones, iPads, Androids, and windows mobile phones.... We feel compelled to reply immediately to show commitment to our customers. That's great -- just try not to do it at the expense of a valuable reply.

I know those out there reading, know me personally, can cite at least one time where have made this mistake.... Believe me when I say I know I am just as guilty as anyone. I'm always making an effort to slow down.

I wrote this on my iPad in the car...

Yes right now I'm writing in the passenger seat on the way to visit family. Is the iPad just a large version of the iPod touch? YES! It is. In fact I was disappointed when I first tested Andy's iPad (VP of our core development team).

Hello Website Forge Community!

As most of you might have noticed -- we performed a huge hardware and file system upgrade over the weekend.

The most noticable difference will be the speed of your web site. The front end server hardware is significantly faster.

Also this upgrade should resolve the recent intermittent issues that a few of you experienced the last couple of weeks.

The upgrade went rather smooth with very few service interruptions. And any issues were resolved VERY quickly.

We value you as a customer and hope you enjoy the new hardware!

P.S. Just let us know if you have any questions or run into any glitches -- we will handle them asap!

We have a few very helpful upgrades to announce:

- QUICKBOOKS POS Compatibility is here!

This is very exciting. For those of you who operate retail stores with Quickbooks POS, you can now syncronize your products, customers, images and orders in a near real-time connection.

This means:

- When you add products to Quickbooks POS, your products automatically upload to your Website Forge site.

- When you sell products and services from your Website Forge web site, your customer and sales records will download to your Quickbooks in near real time! No importing or additional steps necessary!!

- Contact sales@websiteforge.com for pricing and support regarding this new feature!

- HUGE Email campaign's and product Import's

You may notice a new area under your Dash Board called "Scheduled Tasks". This is great because when you send very large email campaigns or import very large product files -- you won't have to wait for them to finish. Instead you can just walk away and wait for the process to finish.

To do this start your email campaign or import and then view the "Scheduled Task" area to see when it is completed.

Notes: This allows them to run for an arbitrary amount of time not limited with timeouts, session lifetimes etc. No need to split files into smaller pieces. Files up to 50 MB are accepted.

Normally tasks are executed immediately right after another, however if there are many tasks being run by other users, the system may wait until there is more resources available.

- UPS shipping methods now have a new setting called "Every Item in Separate Package"

When this option is enabled, the shipping amount on the checkout form has an informational icon which displays detailed quote when moving the mouse over it. This is for people who ship each item in a separate box and must rate the shipping costs accordingly.

- Multiple images in one field for members.

To enable you need to edit the settings of the Edit Profile frame on the mX_edit_item.html page (for membership) and of the Customer Info frame on the mX_customer_info.html page (for ecommerce). And then set the uploader mode dropdown next to the image field to "Lite (Multiple Images)". This will allow members to upload several images to one image field.

Unprecedented FULL 12 Month Guarantee on Website Forge web sites!

Website Forge has long been the ONLY company to provide a real 30 day money back guarantee.

The only company to survey their customers every 7 days during their project development.

The only company to provide unlimited pages, products, and bandwith in a CUSTOM DESIGNED web site. The only company that includes hundreds of thousands of dollars of improvements to it's clients every single year....

Once again we have gone over the top.

We are so sure you will love your Website Forge web site we will back it up with a 12 month guarantee. That's right. If after ONE FULL YEAR you don't love your web site -- we will refund your entire purchase price!

No other web site company has the confidence in their company to offer such an amazing guarantee on their custom web site solutions... NOBODY!

Customer Service at it's Best!

I received a call Friday night from Dale Spenrath (CEO of www.posprocessing.com) around 7:00 PM asking me if Website Forge was having any techincal issues.

I told him I was unaware of any problems. Dale was already on the phone with the technical guys at Linkpoint to see why our mutual customer had called him with a card processing problem.

I hung up and a few minutes later Dale called me back on my cell phone and informed me that Linkpoint did, in fact, have some temporary problems and it would be resolved in a couple hours. I was able to notify our clients so they could be aware of this issue.

When was the last time Henry Ford and Good Year's CEO called each other to work out a technical detail for their car owners? I just call that "Customer Service at it's Best!".

Take full advantage of your SEO technology

I make it a point to run our clients through a few questions to make sure they are doing all they can to promote their online business.

1. Have you enabled your "Google Sitemaps" feature in your web site yet?

2. Have you exported your products (if any) to Google Base? (formerly called Froogle)?

3. Have you spent time every day/week/month to improve your site copy with keyword rich content?

4. Have you considered rewriting your product descriptions to help prospective customers make the decision to purchase your product?

If you have answered NO to any of these questions.. Please reply here and we will have our team give you some specific actions so that you can get the most out of your web site...

Google struggles with SAAS solutions

I am a freshbooks.com customer and I ran across a couple good articles. Recenly they posted a message about Google and some problems they have had supporting their SAAS (Software As A Service) products. You will find the article interesting.

Hello Website Forge partners.. Here are a couple imporant things you need to be aware of...

1. HIGH NUMBERS OF DECLINED SALES?

Some of you experienced unexplained declined sales on your web site. At the time we verified that the Website Forge system was working properly. We have more information that specifies what happened. You can read about the CitiBank system issue here: http://www.websiteforge.com/custom/phpbb/viewtopic.php?p=2445#2445

2. PAYPAL EMAIL REGARDING EMAILS?

Paypal sent out a message saying they would reduce the number of email notifications they send. This will not affect any Website Forge customer. The website forge system already sends out emails to confirm orders, etc. So there will just be less redundancy.

Extra Feature: YOU LOVE TO PLAY POKER ONLINE?

Please check out a new web site I just launched. It's a Pre-Flop poker calculator.

It's a great way to learn how to play Poker and figure out your odds. I'm offering you a $10.00 off discount if you would like to take advantage of it. http://www.preflopadvantage.com (Use coupon code 99013 to get the $10.00 discount)

Are you one of those people that have a hard time remembering your password?

Do you....

Always use the same password so you don't forget it?

Use a password that is easy to guess like birthdates, children names, spouse names, or pets?

Think because you add a number 1 after the password it becomes safer?

Think again... You would be surprised how easy it is to guess your password.

If you are serious about the security of your web site and e-mail.... Make sure your password is difficult to guess.

For instance....

(I know many of you will resist a totally random password with upper case, lower case, and numerical digits because it's very hard to remember so here are some tips that are more reasonable)

Use a random word in a document or book, then type it backwards or add random numbers to the word.

If you insist on using a name -- use names of people that are NOT close to you. People that you met only once but can remember.

Use punctuation in your password

Use different passwords for different types of logins. Use harder passwords for your banking, etc. (some banks enforce harder passwords and changing it often)

Change your password once per month

Ideally you should use a random password generator like this http://www.pctools.com/guides/password/ to generate a properly mixed and random password.

Hope this friendly reminder helps keep your important data secure!

Hello.

This morning I'm writing in the BLOG out of frustration. Yesterday I was told that some of our customers are getting emails returned. The returned message reports that they are a spammer, or their email is blocked.

This is because an organization called www.spamhaus.org added one of the Website Forge mail server IP addresses to their "spammer list". Spamhaus is a widely used source for identifying and stopping spam mail. Just about any spam filter may use them to help avoid spam.

Why did we end up in this evil list? It's because one of our Website Forge customers purchased a list of emails and mass mailed it. He did not do it with the intent to spam, I'm sure the place that sold him the list assured him that the list was a list of "opt in users" and a great list. Then he was probably convinced that it was "Legal" to spam if he added a few key items to his email.

Well, let me tell you first hand. There is no "Legal SPAM". Here is the rule -- If you did not obtain the email address from a person directly through your web site, then do not use the email address. It's that simple.

- Do not buy ANY lists. I don't care if Pope Benedict himself swears the list is clean and legal!
- Do not visit web sites and harvest email addresses.
- Do not pay a company to do it all from their own "special spam servers" (Spamhaus.com will do a reverse lookup on your domain and STILL block our servers)

Better yet, if you have even the smallest inkling to send any type of mass mail -- Call me first! E-mail support@websiteforge.com or visit live chat and ask to get in touch with me.

Please understand that though this customer thought he was "following the law", thousands of Website Forge customers are potentially affected by this issue. In extreme cases we have to take the "offending customer" offline to get our IP removed from the spam list. I don't want anyone to experience any type of hassle sending email for any reason.

I emailed the situation to someone at SpamHaus and they are so arrogant and unforgiving that he only replied once in 24 hours and he did not yet remove the block. I am stuck waiting for this guy to check his email and hope he believes me when I tell him the spam issue has been resolved. It's ridiculous (don't get me started on how these spam organizations conduct themselves).

I will work non-stop until this issue is resolved and send an update.

E-mail space usage and domain name status added to Member's Area

Hello everyone. I wanted to drop a note to make you aware of a few new subtle changes in your member's area.

Start by taking a look at your "site list" and you'll find a green or a red next to each of your domain names.

The green means your domain name is valid and configured to the proper DNS name servers.

The red means your domain is either expired or misconfigured.

We will soon add some automatic notifications to make you aware of a change in status so you can react quickly.

Next take a look at your "Manage Email" area. We now show the mailbox usage next to each mailbox.

One of the most common reasons people stop receiving mail is because they have their e-mail program misconfigured to "Leave mail on server". This causes the mailbox to fill up and stop accepting mail. Now you can see how full your mailboxes are.
Contact support@websiteforge.com with any questions.

Opt-out option for your e-mail marketing

Recently more and more customers have asked for an opt-out option for their Membership Module's e-mail system.

The reason we had not done this in the past is because we don't allow and still do not allow spamming. You may email any customer or subscriber you have -- they are a customer and should expect communications from you. Therefore an "opt out" feature really did not apply (in our opinion).

We do, however, undertand the urge to follow good email practices -- which many of you interpret as providing an opt-out link.

So, due to many customer requests... We have added an opt-out option to the bottom of emails sent using your mailer. Please test it out and let us know what you think.

Website Forge adds "Greylisting" to your anti-spam toolbox

SPAM has become one of the most annoying aspects of the internet. It's bad enough that you receive unsolicited e-mail urging you to purchase something -- now I receive e-mail all day long with random jibberish.

Website Forge already checks mail against "blacklists" and uses "rulesets" to help identify SPAM.

A new method of figthing spam is called "greylisting". Most hard core spammers will use special mail server software to blast out SPAM. Because many of the messages sent are rejected for one reason or another -- the spammer's servers generally do not attempt to re-deliver the message. In other words, just one attempt is made to send the spam.

A normal e-mail server will attempt to resend the e-mail several times every few hours or so.

Here is where the "greylisting" comes in. A greylisting server will reject the first attempt of any suspicious email. IF the sending server attempts to re-deliver the same message, the message will be allowed to move to your INBOX.

It's true that some valid e-mail might be delayed at times, however the reduction of spam can be very substantial.

I was receiving up to 50 e-mails per day and after enabling this "greylisting" feature I received only 3 spam messages this morning and 35 valid emails. It works!

To learn more about greylisting you can follow this link: http://greylisting.org/

How do you enable greylisting for your Website Forge e-mail boxes?

Login to your Member's area and go to the "Manage E-mail" area. You can edit individual mailboxes and check the "enable greylisting" checkbox.

REMEMBER! You may experience some delay in e-mail when you enable this feature. However the average delay should be around 2 hours or less and often 15 minutes. This delay depends entirely on the re-send setting of the sender's mail servers.
